Retrofit vs. New RFID Cabinet: Which Is Right for You?

When an organisation decides to implement RFID-based inventory tracking, one of the first questions that comes up is practical and budget-driven: do we buy new RFID smart cabinets, or do we retrofit our existing storage with RFID readers and antennas?

Option A: New RFID Smart Cabinet

A purpose-built RFID smart cabinet is designed from the ground up for item-level tracking. The RFID reader, antennas, locking mechanism, software interface, and storage compartments are engineered to work together. You get a single integrated system from one vendor.

Option B: Retrofit an Existing Cabinet

A retrofit involves adding RFID reader hardware and antennas to an existing storage cabinet — a standard metal locker, shelving unit, or tool chest — that was not originally designed for RFID. The cabinet itself stays; the intelligence is added on top.

When a New RFID Cabinet Is the Right Choice

1. You're starting from scratch

If you don't have existing storage infrastructure worth preserving, a new RFID cabinet is almost always the better option. You get optimised antenna placement, purpose-built compartments, and a warranty that covers the entire system — not just the reader module bolted onto someone else's cabinet.

2. You need high read accuracy

Purpose-built cabinets are engineered for maximum read performance. Antenna placement is optimised for the cabinet's internal geometry. In a retrofit, antenna placement is constrained by the existing cabinet's structure, which can create read dead zones — areas where tags are consistently missed.

3. You're deploying in a regulated environment

Hospitals, pharmacies, and government facilities often require documented, validated systems. A purpose-built RFID cabinet from a single vendor comes with a defined specification, tested performance data, and a clear support structure. Retrofits introduce complexity that can complicate validation and compliance documentation.

4. You want a single point of accountability

With a new cabinet, one vendor is responsible for hardware, software, and support. With a retrofit, you may be managing relationships with the original cabinet manufacturer, the RFID hardware supplier, and a software vendor — and when something goes wrong, each points to the other.

When a Retrofit Makes Sense

1. You have high-quality existing storage infrastructure

If your organisation has invested in heavy-duty, custom-built storage — specialised tool chests, climate-controlled units, or bespoke shelving — replacing it entirely may not be economically justified. A retrofit preserves that investment while adding RFID capability.

2. Budget constraints are real and immediate

Retrofit hardware (a reader module and antennas) typically costs less upfront than a complete new cabinet. If budget is the primary constraint and the existing cabinet is structurally sound, a retrofit can be a reasonable interim solution — with the understanding that performance may be lower and ongoing support more complex.

3. You're piloting before full deployment

Some organisations retrofit one or two existing cabinets as a proof-of-concept before committing to a full RFID rollout. This is a legitimate approach — provided the pilot results are interpreted with the understanding that a purpose-built cabinet would likely perform better.

4. The items being tracked are large and easy to read

RFID read performance is affected by item size, material, and tag placement. Large metal tools, for example, can be reliably read even with suboptimal antenna placement. If your inventory consists of large, consistently placed items, a retrofit may achieve acceptable read rates.

  • Ongoing support complexity: Multi-vendor support arrangements are slower and more expensive to resolve
